Visual insight with ‘process maps’
Perhaps the most eye-catching addition is the introduction of so-called ‘process maps’. This is a virtual, visual representation of your specific way of working in SAP. Imagine this, you work with a flow of Customer order > Delivery > Down payment invoice > Final invoice. Instead of clicking through menus, you now see this process displayed visually on your screen. The best thing about this is that these ‘process maps’ are interactive. You can click directly on the process steps to carry out the associated actions. SAP already provides two standard ‘process maps’ (namely ‘Quote-to-Cash’ and ‘Procure-to-Pay’), but it is also possible to define your own ‘process maps’.
This is ideal, for example, for onboarding new colleagues: You can link user rights and responsibilities directly to the process steps. This way, new employees can see at a glance what their tasks are, and where they play a role in the process.
Mass import from Excel
Data entry can be a time-consuming job, but Feature Pack 2602 makes this a lot easier. It is now possible to mass import data directly into the Webclient from Microsoft Excel. Think of uploading a list of new potential customers or a large range of items. Using a smart mapping structure (where you indicate, for example, ‘Column A in Excel is the “Customer name” field in SAP’), you can import the data. This is not limited to master data; you can also use this function to, for example, enter a large list of customer orders in one go.
Real-time data with webhooks
For more technical users and administrators, the addition of webhooks is a game changer. This allows you to retrieve real-time information from external applications and display it directly in the SAP Business One Webclient. A practical application is verifying bank details directly on your screen when entering a business partner. This keeps your data clean and accurate at the source.
In addition to these new features, there are also functions you may already know from the classic fat client, which have now found their way into the Webclient or have been significantly improved.
New ‘wizards’: Document generation and ordering
Two powerful ‘wizards’ have been added to help you automate repetitive work:
- Document generation wizard: Select one or more source documents (for example, open orders) and let the ‘wizard’ automatically create deliveries or invoices from them.
- Order wizard (Procurement): Do you have requirement documents? The ‘wizard’ will convert them into purchase orders for you.
Advanced Available-to-Promise (ATP)
Customer satisfaction often comes down to one question: ‘When will I have it?’
With the integration of Advanced Available-to-Promise, you can now see possible delivery times directly from a sales order. The system calculates how you can meet the customer’s needs as quickly as possible, taking into account stock and planned inbound deliveries.
Production on the shop floor
Production was already partly available in the SAP Business One Webclient, but is now fully integrated. This means you can now handle processes such as production receipt and production release entirely via the browser. This opens the door to mobile working in the production hall. With a tablet at the machine, you can directly register the production receipt. You no longer need to walk back to a fixed workstation with paper lists to update the administration.
Printable Reports
Finally, reporting has been improved. You can now print documents in a fixed layout (Printable Reports). This is useful for formal overviews such as your Sales Analysis or Profit-and-Loss Statements, which you can now generate and share directly from the Webclient in a neat format.
