Profimex streamlines logistics and product management with SAP Business One

Via a personalised webshop, customers gain access to a clothing management system. In this portal, they can view their own logos and company colours, and easily order workwear in the correct sizes.

Outdated data and manual input

Profimex uses SAP Business One as its ERP solution to automate business processes such as stock management, procurement, invoicing, and delivery. This solution was implemented when the warehouse was only 20 square metres in size. Over the years, the warehouse expanded first to 80 and eventually to 300 square metres.

Profimex’s growth increasingly strained the ERP system. With more than 450,000 articles in the warehouse, product data had become outdated, fragmented, and difficult to maintain. Outdated custom developments and extensive manual processes made managing data and inventory more complex. The logistics department noticed an increase in mistakes and time loss when training new staff.

Scalability and error reduction through automation

Aiden advised Profimex to implement the necessary improvements in phases. In phase one, the focus was on automating communication between the two locations and reducing manual tasks in the warehouse. The order system at the Assen branch was integrated with that of Rijssen via SAP, allowing orders from Assen to be automatically processed in Rijssen.

In phase two, Profimex transitioned to a brand-new cloud-based implementation of SAP Business One, with a so-called ‘clean start.’ Rather than building upon an outdated database and patching existing custom features, they decided to start with a clean slate. During the migration from on-premise servers to the Aiden Managed Cloud, a solid foundation was laid for future-proof data and product structures.

Intelligent product management eases workload

A key part of phase two was the implementation of the Akeneo Product Information Management (PIM) system. As a PIM, Akeneo acts as a central hub for the entire product catalogue and synchronises product information automatically with SAP.

Smart mappings ensure that the product data is imported into SAP in the correct format. This approach keeps data clean, accurate, and well-organised—even when products subtly change in size, colour, or design each season.

The impact of the new ERP implementation has been significant. The logistics team can now work faster and more accurately, and thanks to Akeneo, importing and managing product data has become much easier.

Profimex has also cleaned up its customer and supplier data using the system.

Profimex continues to expand and grow

Profimex continues to invest in the ongoing improvement of its IT landscape. For instance, work is underway to allow product images to be added and to further optimise customer portals. There are also plans to integrate Akeneo with Profimex’s clothing management system. Once this integration is complete, further expansions of the PIM integration will be explored.
