Lighting giant lampenlicht goes for maximum automation with SAP Business One

With 31 webshops in 25 European countries, and eight physical shops, lampenlicht is a true giant in the lighting market. Lampenlicht processes thousands of orders per day. To manage this huge volume, a robust digital backbone is essential. Together with Aiden, lampenlicht built a highly automated e-commerce platform, based on SAP Business One.

Aiden builds a seamlessly integrated IT foundation for 31 international webshops

For a B2C e-commerce player of this scale, manual work is not an option. With thousands of daily orders via different platforms, plus physical shops, complexity increases significantly. In addition, the IT landscape must be able to handle 15 different currencies, more than 30 languages, and stock locations spread across the Netherlands, Belgium, Poland, and the physical shops themselves.

Lampenlicht’s main objective was therefore clear: to make a major leap in digitalisation, with the focus on standardising business processes and automating as much work as possible. To make this ambition a reality, the company looked for an IT partner who not only understands the e-commerce market, but can also design complex architectures and build seamless integrations.

SAP Business One and a smart integration layer

Together with Aiden, SAP Business One has been implemented as the digital backbone of all trading activities. With years of expertise in SAP Business One for wholesale and e-commerce organisations, Aiden developed a robust integration layer that ensures seamless communication between the SAP ERP and the other systems within lampenlicht’s IT landscape.

Whether a customer orders online or pays at one of the shops, lampenlicht’s e-commerce platform functions as a well-oiled fulfilment machine. Thanks to the integrations built by Aiden, orders from all webshops, external platforms, and physical shops are automatically sent directly to SAP Business One. A key link in this setup is the integration with Channable, to orchestrate the data flow to and from sales channels, such as marketplaces and webshops. Financial processing (via Adyen) is also handled entirely without manual intervention as a result.

Behind the scenes, data from SAP is seamlessly transferred every day to lampenlicht’s Slimstock solution for inventory and supply chain management. Even the complex return flows, fed by data from the warehouses, are fully managed in SAP. The ERP system automatically matches a return to the original order and immediately processes the refund to the customer. Finally, smart integrations with QlikSense ensure the organisation always has the right, real-time management information.

The challenge

With 31 webshops spread across 25 countries, eight physical stores, and thousands of orders a day, manual work is simply no longer an option for Lampenlicht. The company faced an enormous increase in complexity: 15 different currencies, more than 30 languages, and stock locations across Europe. To keep growing, a major digitalisation drive was needed. The focus: Standardise business processes, make systems work together flawlessly, and get the most out of automation.

The solution

Together with Aiden, SAP Business One was implemented as the robust, digital backbone of all commercial operations. Aiden built a smart integration layer that seamlessly connects the ERP system to the rest of the IT landscape, including Channable (sales), Adyen (finance), and Slimstock (inventory management). Orders from every channel—and complex return flows—are now automatically processed directly in SAP Business One. The result is a flawless e-commerce machine with a scalable IT foundation, where virtually no human intervention is needed any more.

A highly automated e-commerce platform

Thanks to the automation of virtually the entire chain, hardly any human intervention is needed to get an order from the webshop to the customer’s doorstep. This not only saves a great deal of time, but has also drastically reduced the number of errors. Lampenlicht therefore has a scalable IT foundation that grows seamlessly alongside its international expansion.

A long-term partnership

The current integrations are rock solid, and a successful upgrade to the latest version of SAP Business One has recently taken place. Yet the collaboration does not stop here. IT optimisation is a continuous process, and Aiden continues to proactively fine-tune business processes, further automate existing integrations, and continuously expand SAP Business One to keep supporting lampenlicht’s success.
